Rules & Policies

All of the following Rules & Policies detail what we expect of our attendees in order to provide everyone a safe convention experience.

Convention Rules

  1. Convention Staff, Guests, and Attendees may not engage in any activities that are prohibited by law. This includes, but is not limited to: harassment, substance abuse, public intoxication, etc.
  2. Treat the Hotel and Convention Staff with respect.
  3. Convention Staff, Guests, and Attendees may not be in possession of any item defined as a weapon, Illegal or not. (See Props Policy for more detail)
  4. Convention Staff and Attendees may not bring any animals onto the convention premises, with the exception of ADA working Animals.
  5. Badges must be worn and visible at all times.
  6. Shoes must be worn at all times.
  7. No sleeping in any Convention area at anytime.
  8. Badges must be purchased in order to be allowed into the Convention space, if you do not have a badge you will be asked to leave until you purchase one.
  9. Do not run in the Convention space.
  10. Be mindful of those around you at all times.

Please note that a violation of ANY of the preceding weapon or convention rules can be grounds for immediate expulsion from the Convention (without refund), as well as resulting in contacting local authorities depending on the severity of the situation.

Exhibitor Room Policies

  1. Keep your hands visible and above the tables. Theft is no small charge, and the dealers WILL press charges.
  2. If the room enters a lock down, please remain calm and slowly make your way to the door.
  3. If Safety Personnel request that you open your bags please be polite and open them.

Events/Line Policies

  1. To avoid fire hazards, keep lines single file and stay close to the walls.
  2. Please wait your turn in line.
  3. Don’t argue with the staff if they attempt to correct you.
  4. Keep in mind that the staff is not yelling at you, they have to speak loudly enough for the entire line to hear which can be difficult at times.
  5. Completely fill in seats, try not to leave empty spaces.
  6. Any event specific rules will be announced at the start of the event, please listen while they are being announced.
  7. ID will be required for any 18+ panels, and recording devices therein will also be prohibited.

Prop Policy

  1. All props/weapons must be checked into the safety desk upon entering the convention, or (in the case of a Dealer’s Room purchase) right after you finish your transaction.  Realistic looking weapons will not be allowed.
  2. Any and all LIVE Weapons are NOT allowed. This includes individuals who possess a weapons permit, or a concealed weapons permit.
  3. Live Steel is not allowed in Convention Space. This includes blades, blunt, etc…
  4. If Safety decides a prop/weapon is too dangerous you will be asked to return the item to your room/car. If you take this as a mere suggestion, you will be expelled from the convention without refund.
  5. No swinging, play fighting (unarmed included), or throwing of props/weapons will be permitted.

These rules are subject to change at any time without any prior notification.

Registration Policy

These policies apply to all attendees, whether they pre-register or purchase a membership at the door.

  1. All attendees agree to comply with Brony Fan Fair’s Policies, the hotel’s policies and all applicable Texas, Federal, and local laws.
  2. Brony Fan Fair reserves the right to “pull” or revoke your badge and/or remove you from the private function areas of Brony Fan Fair’s events at the sole discretion of the Brony Fan Fair staff. No refund will be given in the event of such expulsion.
  3. Attendees agree to allow photographs and/or video with their likeness to be used by Brony Fan Fair for Brony Fan Fair-specific marketing.
  4. Attendees agree to provide complete and accurate registration information. Brony Fan Fair is not responsible if an attendee cannot be contacted with the information provided.
  5. Payment must be sent immediately once the payment form is filled out. Credit card payments must be received within one day; mail-in payments must be received within two weeks or your payment will be canceled. Payments which do not clear are subject to a $10 service charge. Brony Fan Fair is not responsible for payments which are lost in the mail.
  6. Membership is non-refundable, but is transferrable. For more information about badge transfers, please read this. Staff reserves the right to check ID for anyone they suspect is carrying a badge that is not their own.
  7. Badges must be worn and visible at all times for access to convention events. Each attendee must retain possession of his or her own badge for the duration of the convention and may not loan or give the badge to anyone else except as directed by Brony Fan Fair staff.
  8. If you lose your badge, a replacement may be purchase for a $20 fee. The replacement badge can be purchased through the Registration line.
  9. Brony Fan Fair reserves the right to censor or refuse badge names that may be considered obscene, vulgar, or otherwise offensive or inappropriate. Such determination will be made at the sole discretion of Brony Fan Fair staff.
  10. Badges are only available for pickup during listed registration hours, and only at the convention. Badges will not be mailed. No badges of any sort will be issued other than during the listed registration hours.
  11. Valid photo ID is required for badge pickup. Minors without ID may pick up their badges with the accompaniment of a parent or legal guardian. Government issued IDs are not required for 18+ attendees to pick up badges but are still required for 18+ events.
  12. Each attendee must pick up his/her own badge(s). Please ensure to include the appropriate name when pre-registering.
  13. Child attendees (under age 13 at time of the convention) must be registered at the same time as a paying 18+ adult member, who must accompany them at the time of badge pickup.
  14. Any person found attempting to forge a membership badge, or presenting forged ID, will be removed from the convention and may be banned from future Brony Fan Fair events.
  15. These policies may be modified at any time, as deemed necessary by Brony Fan Fair.

Volunteer Policy

  1. If it is against the law, it is not permitted.
  2. Good Personal Hygiene is a must.
  3. Volunteering is based on a first come, first serve basis.
  4. All volunteer Forms must be submitted via our online form.
  5. Please be truthful about your age. You will be asked to present a photo ID on site at check in when you pick up your badge.
  6. Volunteers must be 18 years of Age or older.
  7. Volunteers are expected to volunteer for a minimum of 6 hours to receive a membership badge.
  8. There will be no crash space for volunteers at Brony Fan Fair 2012. You must have a room in the hotel or a nearby location to stay in.
  9. All volunteers must follow the same rules as the con members. Which includes but is not limited to:
    1. No trading badges.
    2. No skipping lines to Concerts, Dealer’s Room, and other Events.
    3. You will be responsible for any damage to the hotel and/or convention property.
  10. No Volunteer will consume, transport, or carry Alcoholic beverages of any kind while working, in convention areas or crash space, or if under the age of 21.
    1. Volunteers must be sober when reporting for assigned hours
  11. Volunteers are expected to show up on time to their assigned duty locations.
  12. If a volunteer misses a shift or behaves poorly, the Staff Head over the volunteer or any Director, or the Administrator, or the Chairman may revoke the volunteer’s badge and any other benefits the volunteer may be receiving.
  13. The Green Room is for Guest use only. Only on-duty Guest Relations/Green Room volunteers, the Convention Chairman, Administrator, Events Coordinator, and the Guest Relations Department Heads will be allowed admittance.
